Team, brand, and billing

Invite your team, put your logo and colors on everything, connect your email domain, and manage your plan.

About 10 minutes · Start here

Settings is where your workspace becomes yours: who's on the team, what everything looks like, which email address your messages come from, and what plan you're on. Open it from the left menu under Settings. This guide walks each page in the order most teams need them.

1Invite your team (Members)

  1. Open Settings, then Members.
  2. Press Invite member and type their email. Pick a role while you're at it. You can change it later.
  3. They get an email invitation. When they accept, a short profile wizard collects their name, position, and photo, and then they land in the workspace.
Owner
Everything, including billing, deleting things, and other people's roles. Every workspace needs at least one.
Admin
Everything except the most destructive switches. Good for operations leads.
Member
The daily driver role. Works records, sends messages, runs their own book.
Viewer
Can look, can't touch. Good for accountants and observers.
If a teammate signs up on their own with your company's email domain, they're offered a request-to-join instead of a second workspace. Approve it from Members.

2Put your brand on everything (Brand)

  1. Open Settings, then Brand.
  2. Point the capture tool at your website. The AI reads your site and fills in your logo, colors, and voice. Or set each one by hand.
  3. Check the preview. Emails, forms, booking pages, invoices, and offering pages all inherit this kit. Change it once, it changes everywhere.
Upload a logo with a transparent background if you have one. It sits cleanly on both light emails and dark pages.

3Your booking page (Booking page)

  1. Open Meridian, then Setup, then Your booking page. Settings, then Booking page brings you to the same place.
  2. Add your name, photo, and a line about you. This is the page people see when they book time with you. Your headshot syncs from your member profile automatically.
  3. Pick your web address. It defaults to your first and last name, like /book/pat-smith. The ways people can meet you live on the Meridian page.

4Send email as yourself (Email)

Until your domain is verified, your mail sends from a shared address. Verifying moves it to you@yourcompany.com and tells inbox providers the mail is really yours, which is what keeps you out of spam folders.

  1. Open Settings, then Email.
  2. Type your domain and press Set it up. We create the records and show you each one with a copy button.
  3. Paste the records at your domain provider. GoDaddy, Cloudflare, Namecheap, Squarespace: they all have a DNS page where you add records. Each record has a type, a name, and a value. Copy ours exactly.
  4. Press I've added them, verify. Not verified yet is normal. Providers can take minutes to a day. We email you when it goes live, and the records stay saved here.

Verified
A verified domain. The little links record powers open and click tracking.

5Make the system speak your language (Custom fields)

Custom fields are extra boxes on your contacts, companies, and deals: things like Lead source, Accredited, or Renewal date. Eleven types are available, including dropdowns and multi-selects, and each option in a dropdown can carry a color so a Tier or a Source reads as a chip in the tables and on the cards.

  1. Open Settings, then Custom fields.
  2. Press New field, pick where it lives and what type it is. A description helps teammates fill it in the same way.
  3. Use it everywhere. Custom fields show on the record card, as table columns, in filters, on forms, and in automations. They're first-class citizens.

6Decide what counts as engaged (Engagement)

Every contact and company carries a temperature chip: hot, warm, cool or cold, scored from what people actually do. Each signal is worth points that halve every 30 days, so someone who stops opening cools off on their own.

  1. Open Settings, then Engagement.
  2. Change what a signal is worth. An opened email is 1 point by default, a click 3, a reply 5, a meeting or a payment 10. Make a booked meeting worth more than a click if that is how your business reads, and shorten or lengthen how fast points fade.
  3. Save and rescore. Every chip in the workspace follows the new weights at once. A band someone set by hand stays put until it lapses.

7Your own stages for people and companies (Stages)

A ladder you define, for any contact and any company: a nurture path, a partner program, a client lifecycle. It is separate from the investor relationship funnel, which moves on its own from tracked email, calls and bookings.

  1. Open Settings, then Stages.
  2. Name the steps, top to bottom, and give each a color. Drag to reorder. Deleting a stage asks where its records should go.
  3. Move records by hand or by automation. Set the stage on the card or in the table, in bulk, or let an automation move a contact (or its company) when something happens.

8Shape your sales stages (Pipelines)

  1. Open Settings, then Pipelines.
  2. Rename the stages to match how you actually sell. Drag to reorder. Mark which stages count as won or lost, and set a win probability per stage if you want weighted forecasts.
  3. Add more pipelines if you run different motions. Sales and Acquisitions can each have their own stages.

9Plans and billing (Billing)

Your trial
15 days, the whole platform, no card, with the seats of the plan you picked at sign-up (Small Cap's two when you picked Free or none) and Small Cap's room for phone numbers and everything else, plus $5 of TAC for texts, calls, meeting notes and AI. This page shows the day it ends, owners and admins get an email three days before, and when it ends the workspace moves to Free with nothing deleted.
Choosing a plan
Every plan has every module. Plans differ in seats, email volume, phone numbers, and monthly TAC. Upgrades apply immediately, downgrades at the next cycle.
TAC
TAC, short for TenthAvenue Credits, is one balance in dollars that pays for texts, calls, meeting notes and AI. Your plan's monthly TAC is used first and renews every month on your plan's billing day; TAC you buy never expires. Owners and admins see the balance here, add TAC from $10, and can turn on auto-reload.
Texting and calling
Texts are 3 cents and calls 5 cents a minute, paid from TAC. Numbers are managed inside Ping.
Cancelling
From this page, any time. No phone call, no retention maze. Your data exports freely before, during, and after.

10Connect other tools, and move in from them (Integrations)

Settings, then Integrations is where outside accounts plug in: your mailbox, and one-time migrations from the platforms you're leaving.

Email (Outlook; Gmail coming soon)
Two-way sync: incoming and sent mail logs to matched contacts, and you can send from your own address. Each teammate connects their own mailbox. The Mailbox guide covers daily use.
Email templates
Settings, then Templates keeps the emails you send again and again: your own, and, for owners and admins, templates shared with the whole workspace. Insert them from the composer's toolbar; merge fields like {{first_name}} fill in for the person you write to.
HubSpot migration
Bring your whole portal across: CRM records, deals, payment history, activity, and templates.
Pipedrive migration
Everything from just your API token: contacts, organizations, deals with their pipelines and stages recreated exactly, leads, activities, notes, and custom fields. Owners map to your teammates by email, and still-open to-dos arrive as real tasks with their due dates.
Mailchimp migration
Your audiences and your whole sending history from one API key. Details in the Tables guide's import section.
All three migrations are safe to re-run. Records update instead of duplicating, so you can run one today and again after your final cutover.

11What Sam does (AI)

Ask Sam
Settings, then AI shows what Sam does across your workspace: questions in every search bar, bulk edits in plain words, emails in your brand, meeting notes and briefs, and dashboards on request.
Paid from TAC
AI runs on your workspace's TAC, with no API keys and nothing to configure. Owners and admins see the balance and every request in Billing's usage log.

12The legal identity (Organization)

Identity
Your workspace name and web address.
Company address
Goes on invoices and email footers, where the law expects a real address.
Legal pages and SMS compliance
Your hosted privacy policy and SMS terms, the pages carrier reviewers check during texting registration. We host compliant versions for you; this is where they live.

13Protect the account (Security)

  1. Open Settings, then Security. Add a second factor: an authenticator app, text message codes, or email codes. Backup codes print once, keep them somewhere safe.
  2. Change your password from the same page.
  3. Sensitive actions ask again. Changing bank details or other high-stakes settings asks for a fresh code even mid-session. That's on purpose.
  4. Open Settings, then Your notifications. Choose what reaches you by email, in the bell and on your phone, kind by kind. It is yours alone and works right away, on the web and in the apps. Security notices, money that went wrong and anything someone is waiting on stay on, and the page says why.
  5. Owners and admins see the whole workspace. Below your own cards: the workspace's record visibility, who on the team has two-factor turned on, and every phone signed into the mobile app, with a Revoke button for a lost device.
