Zoom Events integration guide

TenthAvenue Events connects your Zoom account to TenthAvenue so you can run Zoom meetings and webinars end to end from your CRM: create the event, share one registration form, and every submission becomes a Zoom registrant with their own personal join link, while the roster stays in sync inside TenthAvenue. What this app does

  • Creates scheduled Zoom meetings and webinars from TenthAvenue with registration switched on, or links ones you already created in Zoom.
  • Registers people who submit your TenthAvenue registration form, so each receives their personal Zoom join link.
  • Syncs the registrant roster back into TenthAvenue, including people who registered on Zoom's own registration page, and lets you approve or cancel registrants.
  • Adds webinar presenters (panelists) by name and email; Zoom invites each with their own presenter link.
  • Updates the Zoom event in place when you edit it in TenthAvenue, and can delete it in Zoom if you choose that when cancelling.
  • Marks who attended versus missed after the event ends, on the roster, the event's numbers, and each contact's timeline.
  • Reads your basic Zoom profile (name, email, plan type) only to label the connected account and detect available features.

The app requests granular Zoom scopes that map one-to-one to those features: meeting and webinar read, list, create, update, and delete; registrant add, list, and status update; panelist add, list, and remove; past-event participant and absentee reports for attendance; and basic profile read. Nothing more: no scope is requested for a feature that has not shipped. It never accesses meeting content, recordings, or chat, and never stores host start links or ZAK tokens.

Prerequisites

  • A paid Zoom account. Zoom offers meeting and webinar registration, which this app depends on, on paid plans.
  • For webinars: Zoom's Webinars license on the connected account. Without it, the webinar option is disabled with a plain explanation; meetings work regardless.
  • A TenthAvenue workspace with the Events module enabled (it is on by default).

Adding the app

You add the app from inside TenthAvenue:

  1. Sign in to TenthAvenue and open Events in the sidebar.
  2. Click New event (or Import from Zoom), then Connect Zoom. You are redirected to Zoom's secure sign-in.
  3. Sign in to Zoom, review the requested permissions, and click Allow.
  4. You are returned to the Events page with Zoom connected. Each TenthAvenue member connects their own Zoom account; events are created under the account of the member who makes them.

You can also start from the Zoom App Marketplace listing, which sends you to TenthAvenue to begin the same authorization flow.

Troubleshooting

  • You did not return to a connected state. Allow redirects to zoom.us, then try Connect Zoom again from the Events page.
  • You approved the wrong Zoom account. Remove the app in Zoom (see Removing below), then reconnect and sign in with the correct account.
  • The webinar option is greyed out. The connected Zoom account does not have the Webinars license, or the connection predates newer permissions. Add the license in Zoom, or click Reconnect Zoom to refresh permissions.
  • Registrations stopped landing in Zoom. The connection may have expired or been revoked. The event page shows exactly what failed; reconnect from there. Submissions are never lost: failed registrations appear on the roster with a Retry action.

Using the app

Create an event with its registration form

Use case: you want a webinar or meeting people can sign up for, without building anything in two places. Prerequisite: Zoom connected. In Events → New event, pick meeting or webinar, set the time, and leave Create a registration form too on. TenthAvenue creates the Zoom event with registration enabled and publishes a branded registration form wired to it. Share the form link anywhere.

Auto-register form submitters with personal join links

Use case: every signup should become a real Zoom registrant, not a spreadsheet row. Prerequisite: a form linked to an event (automatic with a created event; any form can also be linked under After someone submits → Register them for a Zoom event). On submission, TenthAvenue creates or matches the contact, registers them with Zoom, and shows their personal join link on the thank-you screen; Zoom's confirmation email delivers it too.

Link an event that already exists in Zoom

Use case: the webinar was already set up in Zoom. Prerequisite: Zoom connected. Use Import from Zoom and pick from your upcoming meetings and webinars, or paste the Zoom link or id. If registration is off on that event, importing turns it on (the picker says so before you confirm), and the existing roster syncs in.

Work the roster

Use case: see who is coming and manage approvals without leaving your CRM. Prerequisite: a linked event. The event page shows every registrant with source and status. Manual-approval events queue registrants as pending; approving in TenthAvenue updates Zoom and issues their personal link. Each registrant is a CRM contact with the registration on their timeline.

Presenters (webinar panelists)

Use case: your webinar has guest speakers who need their own links. Prerequisite: a webinar event. Add presenters by name and email on the event page; Zoom sends each panelist their personal invitation, and you can copy their presenter link any time. Meetings use alternative hosts instead (set under Edit).

Edit and cancel safely

Use case: the time moved, or the event is off. Prerequisite: a linked event. Edits made in TenthAvenue update the Zoom event in place, so links already sent keep working. Cancelling asks whether to also delete the event in Zoom; either way, no further Zoom registrations are made, and the event's auto-created registration form is unpublished.

Removing the app

Either path fully disconnects; use whichever is closer at hand.

  1. In TenthAvenue: on the Events page, click Disconnect next to the connected account name and confirm. This revokes the Zoom token and removes the stored connection.
  2. In Zoom: go to marketplace.zoom.us, open Manage → Added Apps, find TenthAvenue Events, and click Remove.

What happens when you remove (de-authorization)

  • TenthAvenue immediately stops creating events, registering people, and syncing rosters for that Zoom account; those surfaces show a reconnect prompt instead.
  • Zoom events that already exist remain in your Zoom account, and join links already issued keep working; delete any of them in Zoom if you wish.

How we remove your data

When you remove the app, Zoom sends us an authorized, signed de-authorization notification. On receiving it we delete the stored Zoom access and refresh tokens and the connection record for that account, and we confirm the deletion back to Zoom through its data-compliance API. Event and registration records created in your TenthAvenue workspace (registrant names, emails, join links, statuses) are your workspace's own CRM data, collected through your forms, and remain under your control; to have any of it deleted, email [email protected] and we will action it.
