Gmail connection guide

TenthAvenue's Inbox connects to your own Gmail mailbox, so the conversations you have with your contacts show up on their records, and the email you write in TenthAvenue goes out from your own address. Each teammate connects only their own mailbox. This guide explains what the connection reads, how to add it, who sees what, and how to remove it and delete your data. It also covers syncing your Google Contacts.

What we access, and why

Connecting asks Google for exactly these permissions:

  • openid: identifies which Google account you connected.
  • userinfo.email: reads that account’s email address, so we know which mailbox is yours.
  • gmail.modify: reads your messages so they sync to TenthAvenue, and acts on them only when you ask: sending the email you write in TenthAvenue from your own address, replying and forwarding, moving to Trash, archiving, applying labels, marking read or unread, and saving drafts. It cannot delete anything permanently.

For each synced message we keep the sender, recipients, subject, a short preview, its labels and whether it is read. We keep the body only when someone on the message is already a contact in your workspace; any other body is read from Gmail when you open the message and is not stored. Attachments stay in Gmail; we keep only each attachment's name, size and type. Everything is in our database in the United States, encrypted in transit and at rest, and the keys to your mailbox are encrypted again before we store them.

Connecting Gmail

  1. Sign in to TenthAvenue and open Settings → Integrations.
  2. Click Connect Gmail. TenthAvenue first shows what it reads, why, and who sees it, and asks how much history to bring in: the last 12 months (recommended) or everything. Choose, then click Continue to Google.
  3. Choose your Google account. Google lists each permission with a box beside it: leave every box ticked, then click Continue.
  4. You come back to Integrations, where your mailbox shows as Connected. Under What to sync, keep Everything or choose the labels to sync.

Gmail is being opened workspace by workspace. If you do not see Connect Gmail, it is not on for your workspace yet: email support@tenthavenue.io.

What syncs

  • New mail arrives within a few minutes. Your history (the last 12 months, or everything) comes in behind it, newest first, up to 300 messages every couple of minutes; the Inbox shows how far it has got. A large mailbox can take a day or more.
  • Every label is synced except Drafts, Spam and Trash, unless you choose them under What to sync.
  • Your Inbox follows Gmail: a message you delete or move to Trash in Gmail leaves it, and archiving and read or unread show there too; a message you move back comes back. Entries already on a contact's timeline stay.
  • If the sync ever loses its place in your Gmail (after a long pause, say), it checks your whole history again: what it missed comes in, and what you deleted meanwhile leaves.
  • A message is matched to a contact by any of the contact's email addresses, for everyone on it (the sender, To and Cc), except your teammates. It is also placed with a company when that company's domain matches, never for free email providers like Gmail or Outlook, or your own domain.

Who sees what

  • Your Inbox in TenthAvenue is yours alone: teammates cannot open it.
  • When a message is with someone who is already a contact in your workspace, its subject and a short preview are added to that contact's activity timeline, and to their company's, where your teammates can see them.
  • Meeting prep briefs and suggested next steps send the subject and preview of those contact emails to our AI provider, only to write that result. Your email is never used to train AI, never used for advertising, and never sold.
  • People at TenthAvenue do not read your email unless you ask us to about a specific message, or security or the law requires it. Even when our support team signs in to help your workspace, your email stays closed to them: they cannot open your Inbox or send from it, and they see no email subjects, previews or prep briefs.

Troubleshooting

  • "One of the permissions was left unticked." TenthAvenue cannot sync without all of them, and nothing was kept. Click Connect Gmail again and leave every box ticked.
  • "That mailbox is already connected." A mailbox can be connected in one place at a time. Disconnect it in the other workspace (or ask the teammate who connected it), then connect it here.
  • "Last sync error" on Integrations. Your connection may have expired or been removed at Google. Disconnect, then connect again.
  • Still stuck? Email support@tenthavenue.io with your workspace name.

Disconnecting and deleting your data

  1. In TenthAvenue: open Settings → Integrations and click Disconnect. We ask Google to withdraw our access, then delete every synced copy of your mail and the stored keys. If your Google Contacts sync uses the same Google account, our access stays until you stop that sync too (Google withdraws a whole connection at once).
  2. At Google: visit myaccount.google.com/permissions, open the TenthAvenue entry whose access includes Gmail, and remove its access. TenthAvenue can be listed more than once there if you also sign in with Google or connected Google Calendar; each entry says what it can reach, so choose the one that lists Gmail. Then click Disconnect in TenthAvenue too, so the copies we hold are deleted.
  • Being removed from a workspace, or deleting your TenthAvenue account (see Delete your account), does the same for your mailbox.
  • Timeline entries already added (a subject and a short preview on a contact) belong to your workspace's records and stay with them.
  • To ask us to delete those entries, or anything else we hold about you, email support@tenthavenue.io.

Google Contacts

You can also keep your own Google Contacts and your TenthAvenue contacts in step. It is a separate step from Gmail, on the same Google connection, and each teammate syncs only their own Google account.

  • openid: to identify the Google account you connect
  • userinfo.email: to know which Google account it is
  • contacts: to read your Google Contacts, and to create the contacts you own in TenthAvenue inside a TenthAvenue label and keep only those up to date (never to delete one)
  • contacts.other.readonly: to read the Other contacts Gmail saved for you, only if you choose to bring them in
  1. Open Settings → Integrations and click Sync Google Contacts. TenthAvenue first shows what it reads, what it writes and who sees it. Tick the box if you also want the people Gmail saved for you automatically ("Other contacts"), then click Continue to Google.
  2. Choose your Google account and leave every box ticked. Google says the permission can delete contacts; TenthAvenue never does.
  3. The first import runs within a few minutes, and a large address book finishes over a few passes. Sync now runs a pass right away.
  • Each contact's name, email addresses, phone numbers, company, job title and address come in. Someone already in your workspace is matched by email (or by phone number when the name matches too), and only their empty details are filled in; anyone else becomes a new contact you own, which your teammates can see like any other contact.
  • Nothing in your workspace is ever removed or emptied: email addresses and phone numbers are only added. On contacts you own, a detail you change in Google replaces the one here (when both sides changed it, the newer change wins); a teammate's contact only gets its empty details filled in.
  • TenthAvenue creates each contact you own here that your Google Contacts lacks in a TenthAvenue label there, never with your notes, and keeps only those up to date: it changes just the details you changed in TenthAvenue and keeps every other detail, label and type you add in Google. Contacts you already had in Google are only read. Your workspace's owners and admins can turn this off; contacts still come in from Google then.
  • Each contact TenthAvenue creates is marked with its workspace, so the same Google account connected in two workspaces never brings one workspace's contacts into the other.
  • Nothing is ever deleted. Deleting a contact in Google or in TenthAvenue only stops syncing it, and the sync never brings it back.
  • Receipts and no-reply senders among your Other contacts are left out.

Stopping: click Stop syncing on the Google Contacts card. The stored keys and links are deleted, and the contacts already added stay in your workspace. We ask Google to withdraw our access unless your Gmail connection here uses the same Google account (Google withdraws a whole connection at once); in that case disconnecting Gmail withdraws it, or remove it yourself at myaccount.google.com/permissions. Being removed from a workspace, or deleting your account, stops your syncs the same way.
